This Privacy Policy explains how Zeko Vanguard ("we", "us") collects, uses, and shares information when you register for the dashboard or when server members complete verification through your configured bot.
1. Who this policy applies to
Dashboard users: people who register an account to manage verification settings.
Server members: people who verify in a PepChat / Stoat server using a verification link generated by the Service. Those members do not register a dashboard account, but their verification data is still processed.
2. Information we collect
Dashboard account data: name, email address, password (stored hashed), preferred language, account timestamps, and terms acceptance records (including acceptance time, policy version, and IP address at registration).
Bot configuration data: encrypted PepChat bot tokens, bot invite URLs, server IDs, channel and role IDs, verification messages, and security settings you configure.
Verification data: PepChat user IDs, verification tokens, verification status, reasons for failure, IP addresses observed during verification, and related log metadata.
Technical data: session cookies for dashboard login, server logs, and basic request information needed to operate and secure the Service.
3. How we use information
We use information to provide and secure the Service, operate the verification bot, run captcha and IP reputation checks, display analytics to server owners, maintain audit logs, communicate with dashboard users, and comply with legal obligations.
Server owners use verification logs and analytics to manage access to their communities. You are responsible for how you use that information in your server.
4. Legal bases (where applicable)
Where required by law, we process dashboard account data to perform our contract with you and for our legitimate interests in operating a secure service.
Verification data about server members is processed to perform verification on behalf of the server owner. Server owners should ensure they have an appropriate legal basis under local law.
5. Third-party processors
We use third-party services that may process data, including PepChat / Stoat APIs, Cloudflare Turnstile (bot protection on verification pages), IP lookup providers such as proxycheck.io (when enabled), and infrastructure providers that host the application.
Those providers process data according to their own policies and our instructions where applicable.
6. Retention
We retain dashboard account data while your account is active and for a reasonable period afterward unless deletion is requested or required by law.
Verification logs and tokens are retained to support security, analytics, and audit needs for the relevant server installation. You may contact us to discuss deletion requests.
7. Security
We use reasonable technical and organizational measures to protect data, including encryption of bot tokens at rest and access controls on dashboard features. No method of transmission or storage is completely secure.
8. Your rights
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, or to object to certain processing.
Dashboard users may update profile information in the dashboard and may request account deletion by contacting us.

9. Children
The dashboard is not intended for anyone under 18 years of age. We do not knowingly collect personal information from anyone under 18 through dashboard registration.
10. International transfers
Your information may be processed in countries other than your own. Where required, we take steps designed to protect data in accordance with applicable law.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will update the version date on this page when changes are published.
